Terms of Service

Last updated: [DATE]

These Terms of Service (“Terms”) govern access to and use of this Service (the “Service”), provided by [Your Company Name](“we,” “us”). By creating an account or using the Service, an organization (“Organization,” “you”) agrees to these Terms.

1. The Service

The Service is a web-based application that helps churches and similar organizations manage benevolence assistance requests: intake, team review, decisions, and reporting.

2. Accounts and access

An Organization’s designated administrator(s) are responsible for creating and managing team member accounts, and for ensuring only authorized individuals have access. You are responsible for maintaining the confidentiality of login credentials and for all activity under your Organization’s accounts. Notify us promptly at [support email] of any suspected unauthorized access.

3. Acceptable use

You agree to use the Service only for its intended purpose, and not to:

  • use the Service for any unlawful purpose;
  • attempt to access another Organization’s data or accounts;
  • upload malicious content or attempt to disrupt or overload the Service;
  • use the Service to collect information from applicants beyond what is reasonably necessary to evaluate a request.

4. Your data

As between you and us, your Organization owns the data it collects and enters into the Service, including applicant information. We act as a service provider processing that data on your behalf, per our Privacy Policy. You are responsible for your Organization’s own compliance with laws applicable to how you collect, use, and retain applicant information.

You can export a complete copy of your Organization’s data at any time through the Service’s built-in export feature, including before or after cancellation.

5. Fees and subscriptions

Use of the Service beyond any free or trial period requires payment of the subscription fees described at the time of signup or renewal. Fees are billed as described at signup and are non-refundable except as required by law or as we otherwise agree in writing. We may change our pricing with reasonable advance notice; continued use after a price change takes effect constitutes acceptance.

6. Cancellation and data deletion

You may cancel at any time by contacting [support email]. Upon cancellation, we recommend exporting your data first. We may delete an Organization’s data [XX days] after cancellation, after which it may not be recoverable.

7. Service availability

We aim to keep the Service available and reliable but do not guarantee uninterrupted access. We may perform maintenance, and may modify or discontinue features, with reasonable notice where practical.

8. Disclaimer of warranties

The Service is provided “as is” and “as available,” without warranties of any kind, express or implied, including fitness for a particular purpose or non-infringement. We do not guarantee the Service will be error-free or uninterrupted.

9. Limitation of liability

To the maximum extent permitted by law, [Your Company Name]’s total liability arising out of or relating to the Service will not exceed the amount your Organization paid us in the twelve months preceding the claim. We are not liable for indirect, incidental, special, or consequential damages.

10. Termination

We may suspend or terminate access to the Service if you violate these Terms, fail to pay applicable fees, or if your use poses a security or legal risk to us or other users.

11. Changes to these Terms

We may update these Terms from time to time. We will update the “Last updated” date above and, for material changes, make reasonable efforts to notify Organization administrators.

12. Governing law

These Terms are governed by the laws of [State/Jurisdiction], without regard to its conflict of laws principles.
